How to Create & Use Magic Tags


This help article explains how to create and use Magic Tags in MagicDoor.

Use this article as a reference when customizing how you track and organize information across your portfolio.

Step 1: Access Magic Tags

Magic Tags are managed from the Properties section.

  • From the left-side navigation, go to Properties
  • In the purple section, select Magic Tags

Step 2: Create a New Magic Tag

You can create tags for different types of data depending on what you need to track.

  • Click Add New Magic Tag
  • Choose a Type, such as:
    • Number
    • Input
    • Select
    • File
    • Checkbox
    • Date
    • Date & Time

Example:

To track whether a unit is furnished:

  • Select Input as the type
  • Name the tag Furnished
  • Enable Filterable so it can be used in views and reports
  • Choose whether the tag is:
    • Required
    • Visible to all users (for multi-user accounts)

Click Save to create the tag.

Step 3: Display Magic Tags in a Custom View

Custom views allow you to see Magic Tags directly in your portfolio lists.

  • Go to your Portfolio Overview
  • Click Custom View
  • Select the columns you want to display, including your Magic Tags
  • Use the arrow button to add them to the view
  • Enter a View Name and an optional description
  • Choose whether this should be your Default View
  • Click Save

Your new view will now display standard columns (like active units) along with your Magic Tags.

Step 4: Add or Edit Magic Tags on Properties

Once a tag is created, you can apply it to individual properties.

  • Open the specific Property
  • Scroll to the top and select the Magic Tags tab
  • Enter or update values for each Magic Tag
  • Click Save

When you return to your portfolio view, the updated Magic Tag values will be visible.

Step 5: Create Magic Tags for Leases (Example: Pets)

Magic Tags can also be used on leases for additional tracking.

  • Go to Settings > Magic Tags
  • Select Leases
  • Click Add New Tag
  • Choose Select as the type
  • Name the tag (for example, Pets)
  • Add options such as:
    • Yes / No
    • Dog / Cat / No Pet

Optional:

  • Add a File type Magic Tag to upload pet photos or documents

Step 6: View and Edit Lease Magic Tags

To apply tags to individual leases:

  • Go to Leases
  • Open a lease and scroll to the Magic Tags section
  • Select values or upload files (such as a pet photo)
  • Click Save

You can then create a custom lease view to see this information across all leases.

Step 7: Use Magic Tags in Reports

Magic Tags can also be used for reporting and filtering.

  • Navigate to Reports
  • Open the Rent Roll
  • Filter or organize data using Magic Tags (for example, viewing which leases have pets)

This allows you to track custom details directly within your reports.

What Magic Tags Are Best For

Magic Tags are ideal for tracking information such as:

  • Furnished vs. unfurnished units
  • Maintenance details (like last air filter change date)
  • Pets and pet documentation
  • Case workers or special lease notes
  • Any custom data you need across your portfolio
